12. Email Communications and Onboarding

12.1 Data Collected at Onboarding

When you create an account and verify your email address, the App records the date and time of that verification. During your first launch after verification, you are asked to select your primary role: Coach / Club Manager, Stats Taker / Team Liaison, or Parent / Fan / Athlete. This selection is stored on your account and used to personalise your onboarding experience.

12.2 Purpose of Onboarding Emails

Your email address, first name, and role selection are used to send a short onboarding email sequence — up to 3 emails over 7 days — designed to help you get started with the App. Email content is tailored by role:

These are onboarding communications directly related to the service you have signed up for. They are not marketing emails and do not promote unrelated products or services.

12.3 Email Processor — Brevo

Outbound onboarding emails are sent via Brevo (Sendinblue SAS), a third-party email delivery service acting as a data processor on our behalf. The following data is transmitted to Brevo solely for this purpose:

12.4 Unsubscribe and Opt-Out

Every onboarding email contains an unsubscribe link. Clicking it immediately stops all further onboarding emails from being sent to you. You may also contact us directly at support@water-polo-stats.com to request removal from the email list at any time. Unsubscribe requests are honored within 10 business days, consistent with CAN-SPAM requirements.

12.5 Email Data Retention

Contact records stored in Brevo are retained for as long as you have an active account with Water Polo Stats. If you delete your account, we will request deletion of your contact record from Brevo within 30 days. You may request deletion of your email contact record at any time by contacting support@water-polo-stats.com.

12.6 Legal Basis (GDPR)

Where GDPR applies, the legal basis for processing your email address and name for onboarding communications is Legitimate Interest (Article 6(1)(f) GDPR): helping you successfully adopt a product you have actively signed up for. You may withdraw from onboarding communications at any time using the unsubscribe link in any email or by contacting us. The role selection (Coach, Liaison, or Parent) does not constitute special-category data under GDPR Article 9.
